Organization Overview
Downtown Midland is an association that acts on behalf of its member merchants, restaurants, businesses and landowners, along with the Town of Midland, to ensure that downtown Midland is a safe, vibrant, thriving and prosperous community in the Heart of Georgian Bay. We are designated as a Business Improvement Area (BIA) through the Ontario Municipal Act and a Town of Midland bylaw originally enacted in 1977. Under the direction of the Board of Management, the BIA improves the physical environment and appearance of the business area, and spurs economic redevelopment through area-wide promotions and advertising campaigns.
Job Overview
As the Operations & Activation Coordinator, you will be responsible for bringing the BIA’s plans to life. Reporting directly to the Managing Director, you will handle the on-the-ground execution of events, beautification, décor, and promotions. From preparing banners and seasonal décor, to ensuring streetscapes are clean and welcoming, to coordinating logistics on event day, you are the hands-on link that keeps downtown Midland vibrant and active.
This role is ideal for someone organized, energetic, and community-focused, who enjoys working both behind the scenes and out on the street. You will build strong relationships with the Town’s Operations team, the Waypoint cleaning crew, and downtown businesses to ensure smooth delivery of all activities.
compensation:
$30,000 – $32,000
Responsibilities & Duties
Street-Level Operations
- Maintain and prepare banners, lights, and seasonal décor; coordinate installs with Town Operations.
- Conduct walk-throughs to monitor conditions (lights, music, cleanliness); log and escalate issues.
- Liaise with Waypoint cleaning crews and Town staff to ensure daily operational needs are met.
Events, Beautification, and Activations
- Support all aspects of BIA events, beautification, and promotions, including setup, tear-down, vendor coordination, and logistics.
- Manage decor, signage, supplies, and equipment; keep inventories up to date.
- Act as on-site point of contact during events and activations.
Member Support & Communications
- Deliver posters, promotional materials, and updates to member businesses.
- Provide photos and content from events for newsletters and e-blasts.
- Maintain a member contact list and track participation in promotions.
Administration & Reporting
- Keep checklists, logs, and inventories organized.
- Provide weekly updates and reports to the Managing Director.
- Support office coverage and share phone duty with the Managing Director.
What we're looking for
- 2–4 years in events, operations, facilities, or community programming.
- Organized, reliable, and comfortable working outdoors in all seasons.
- Strong communication skills; able to build cooperative relationships with staff and partners.
- Hands-on problem solver who takes initiative to get things done.
Responsibilities & Duties
- 2–4 years of experience in events, operations, facilities, retail management, or community programming.
- Post-secondary education in business, marketing, event management, tourism, or a related field an asset.
- Strong organizational and multitasking skills with proven ability to manage multiple deadlines.
- Excellent communication and interpersonal skills for working with businesses, contractors, and partners.
- Proficiency with Microsoft Office (Word, Excel, PowerPoint) and Google Suite (Docs, Sheets, Drive, Gmail).
- Comfort with digital tools such as Mailchimp or similar e-newsletter platforms.
- Basic knowledge of social media platforms (Facebook, Instagram, LinkedIn) for posting updates.
- Ability to capture and share photos/videos for BIA communications.
- Comfortable using online scheduling and project management tools (e.g., Trello, Asana, or similar).
- Ability to participate in physical labour including packing, cleaning, event setup and teardown, decorating, and equipment handling.
- Valid Ontario driver’s license and access to transportation an asset.
- Flexibility to work occasional evenings and weekends for events or seasonal activations.
